Privacy Policy

Who we are

WILO ("the App") is a field-sales CRM built and operated by Tikitech (Bhandup, Mumbai) for the TikiDan sales team. This policy covers both the web application and the WILO Android app published on Google Play. WILO is an internal tool for a single organisation — it is not a consumer product and accounts are created by your organisation, not by self-signup.

What we collect

Account information

• Name, phone number, email address, employee ID
• Designation, department, joining date, address
• Optional profile photo

Location

The mobile app uses your device's GPS to record your location while you are signed in. This is used by your organisation to verify field-sales visits and confirm attendance, and to attach a location to each visit you log. Recording starts when you sign in and stops when you sign out.

• Foreground location — used while the app is open.
• Background location — used to keep recording when the app is closed or the screen is off, so a site visit is never missed.
• A persistent Android notification is shown the whole time your location is being recorded, so you always know when it is active.

You can revoke location access at any time from your device settings. The app cannot perform its core visit- and attendance-recording function without it.

Camera and photos

With your permission, the app uses the camera to photograph visiting cards so a contact's details can be attached to a lead. WILO requests camera access only — it does not request access to your photo gallery.

Push notifications

The app registers a device push token (via Expo and Google FCM) so your organisation can send you follow-up reminders and approval messages. You can disable notifications from your device settings.

Work data

• Leads, visits and follow-ups you log, including notes and the location captured at save
• Companies and contacts you capture
• Attendance check-in and check-out times and locations

How we use your data

• To run WILO for your organisation.
• To let your managers and head office see sales activity, visits and attendance, as part of your employment.
• To send you notifications relevant to your work.

We do not sell your personal data, use it for advertising, or share it with third parties for their own marketing purposes.

Who can see your data

• You can see your own data.
• Your manager can see the data of their direct and indirect reports.
• Head office (coordinators and senior management) can see the organisation's data.
• Contacts you capture are private to you and are not visible to other field reps.

Service providers we use

• Supabase — database hosting and authentication.
• Expo Application Services — push notifications and app update delivery.
• Google Maps Platform — maps and location lookups.
• Brevo — transactional email.

Each provider has its own privacy policy and handles only the limited data needed to deliver its service.

Data retention

Your data is retained for as long as you are an active member of the organisation, and for a reasonable period afterwards as part of the organisation's business records. When you leave, your account is deactivated by head office.

Your rights

• See the data held about you by signing in to the app.
• Ask head office to correct or delete your data.
• Revoke camera or location permission from your device settings at any time.
• Uninstall the app at any time. To request deletion of your account, contact us at the address below or ask head office.

Security

Data is transmitted over HTTPS and encrypted at rest by our infrastructure provider. Access is restricted by row-level security policies that scope every record to the person or team entitled to see it.

Children

WILO is intended for use by adult employees of the organisation. We do not knowingly collect data from children under 16.

Changes to this policy

We may update this policy from time to time. The "Last updated" date above reflects the most recent revision.
